Ramona Water District Looks To Update Public Records Act Policy

The water board voted last week to adopt a new ordinance and update the record retention schedule.

The Ramona Water Board voted to update the Municipal Water District's public records act policy and public retention schedule at the March 26 meeting, something Human Resources Manager for the district Mike Callahan called "a constant challenge."

"One of the important things is to manage our records and not keep things around that we don't need," Callahan told the board at the meeting. "But some things are permanent and need to be kept forever."

Examples of permanent documents include benefits contracts, board activities, board minutes and election ballots, to name a few. You can read the current rentention schedule online here.

The human resources manager said that currently, most of the district's records are on paper, but they're "trying to clean it up" and create PDFs of documents needed.

According to the district, the public records act policy has been periodically updated as the California laws on them have changed, but it has not received any major revisions in recent years.

The updated record retention schedule will allow consolidation, RMWD said, ensuring "the district is not wasting resources storing records it's no longer required to maintain."

RMWD said the update will have no fiscal impact, except for possible administrative cost savings.

The board voted to approve the update, with all in favor except Joe Zenovic, who abstained.
